Administrative Assistant for Convention Sales Department

The Greater Miami Convention & Visitors Bureau (GMCVB) is the "Official Sales & Marketing Organization of Greater Miami and the Beaches."  Our business is about selling Greater Miami and the Beaches as a premier convention and leisure travel destination. 

We are currently seeking a dynamic individual to provide administrative support to multiple sales managers and facilitate the operations of the GMCVB's Convention Sales Department.

Success in this position requires:

  • Superior organizational skills
  • Ability to type 60 wpm
  • Detail-oriented work habits and proof-reading skills
  • Proficiency with word processing, spreadsheet and database programs in a Windows environment
  • Excellent written and verbal communication skills
  • applicants will be tested for proficiency in MS Word, Excel, Spelling and Grammar

  • Major Areas of Accountability

  • Prepare, organize, and provide word processing services including but not limited to general correspondence, proposals, and various departmental reports to efficiently facilitate office operations
  • Data entry to generate sales leads from sales managers to ensure that members have current information for generating business
  • Process check requests, gift and service orders for upcoming meetings, conferences, trade shows, trips ensuring that payment is received, if necessary, and brochures are delivered as required
  • Maintain tentative account files for sales managers to provide a monthly count of correspondence generated and ensure copies of correspondence are available as needed
  • Prepare various reports (e.g. expense reports, outstanding tentative report) in a timely and efficient manner
  • Provide general assistance to the sales manager in preparing site inspections, sales trips and trade shows, etc. to ensure effective administrative support
  • Provide back-up to other assistants as required due to work load, vacation, etc. to ensure that the work is completed on time
  • Handle and respond to GMCVB hotel partners, as requested
  • Learn to operate main switchboard, and relieve receptionist, as required
  • Additional responsibilities or special projects, as assigned

  • Education / Experience

  • One year certificate from college or technical school
  • One to three years related experience, or equivalent combination of education and experience
  • Hospitality industry experience strongly preferred
